Privacy Policy
Version 1.0 · Effective 2026-09-23
KinderLogix is strongly committed to protecting your privacy and complying with your choices. This policy explains what personal information KinderCompass, the parent application owned and operated by KinderLogix, collects about you, how it is used, who it is shared with, how long it is kept, and the choices you have.
KinderLogix handles personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act and with the provincial privacy legislation that applies where you live, including Alberta's and British Columbia's Personal Information Protection Act and Quebec's Act respecting the protection of personal information in the private sector.
KINDERLOGIX'S COMMITMENT
- Personal information is collected with your knowledge and consent, and only what the service needs.
- KinderLogix does not sell your personal information, and does not use it for advertising.
- Your information is protected by strong security measures.
- You can see your information, correct it, and delete your account at any time.
1. NOTICE & CONSENT
You receive an invitation to KinderCompass from your childcare centre. By accepting that invitation and using the application, you consent to the handling of personal information described in this policy. You may withdraw your consent at any time by deleting your account, as described in section 10; the consequence is that you can no longer see your centre's information in the application.
Children do not have accounts in KinderCompass and cannot sign in. KinderLogix does not knowingly collect personal information directly from a child.
2. THE TYPES OF PERSONAL INFORMATION KINDERCOMPASS COLLECTS ABOUT YOU
- Your account: your first and last name, your email address, a securely hashed password, and any passkeys you register. A passkey stores a public key only; the fingerprint, face or PIN that unlocks it never leaves your device.
- Your profile: a photograph, if you choose to add one, and your preferences in the application, such as the colour theme and the centre you last viewed.
- What you submit: the contact details and family contacts you save, which are written to your childcare centre's records, and anything you write when you contact support.
- Technical information: your IP address, the date and time of each request, the pages requested and any errors, recorded in server logs so that the service can be operated securely. A session cookie keeps you signed in and is necessary for the application to work.
KinderCompass contains no advertising identifiers, no third-party analytics or tracking software and no location tracking. No decision about you is made by automated means.
3. INFORMATION THAT COMES FROM YOUR CHILDCARE CENTRE
Your children's enrolment, attendance, schedules, medical notes, fees, invoices and your family's contact details are records belonging to your childcare centre. The centre decides what it collects and how long it keeps it, and is accountable for that information. KinderLogix holds and displays it on the centre's behalf, under its agreement with the centre, and uses it for no other purpose. Requests to see or correct those records should be made to your centre.
4. USAGE
KinderLogix uses the personal information described in section 2 to:
- sign you in and keep your session secure;
- show you the children and centres you are authorised to see, and let you edit what your centre permits;
- send you the messages the service requires: your invitation, verification of your email address, password resets and notices about your account;
- answer your support requests;
- prevent abuse, investigate security incidents and keep records required by law.
5. WHAT KINDERLOGIX DOES WITH THE INFORMATION YOU SHARE
Your information is shared only as follows:
- With your childcare centre: your name and email address, whether you have accepted your invitation and verified your address, and anything you save through the application.
- With service providers acting for KinderLogix, under contracts that require them to protect the information and use it only on its instructions: hosting and server operations, the email delivery provider, and a network security and content delivery provider.
- Where the law requires it, for example a court order, or where KinderLogix must act to protect a person's safety or to establish or defend a legal claim.
- With a successor, if the business or this service is transferred to another company, which would remain bound by this policy.
KinderLogix does not sell personal information and does not share it with advertisers.
6. WHERE YOUR INFORMATION IS STORED
Your information is stored on servers operated for KinderLogix in Canada. Two service providers, the email delivery provider and the network security provider, may process limited information such as your email address or IP address outside Canada, including in the United States. While it is outside Canada it remains protected by contract, and it may be accessible to the courts and law enforcement of that country under that country's laws. You may ask KinderLogix for further detail about these arrangements.
7. SECURITY OF INFORMATION
Information travels over an encrypted connection and is stored behind firewalls on secure servers with restricted employee access. Passwords are hashed and never stored in a readable form, sessions are encrypted at rest, and access tokens are short lived. Photographs are held in storage that cannot be listed publicly and is reachable only through short-lived links. No system is perfectly secure; should a breach create a real risk of significant harm to you, KinderLogix will notify you and the appropriate privacy commissioner as the law requires.
8. RETENTION OF INFORMATION
Your account information is kept for as long as your account exists. Server logs are kept for a limited period, normally no longer than twelve months, and are then deleted. Records belonging to your childcare centre are kept by the centre under its own licensing and record-keeping obligations, not by KinderLogix.
9. ACCESS TO YOUR INFORMATION AND YOUR CHOICES
You may review and update your name, email address, photograph and preferences in the application at any time, and ask your centre to correct its own records. You may ask KinderLogix for a copy of the account information it holds about you by writing to [email protected]; requests are answered within thirty days, and KinderLogix may first need to confirm your identity.
If you are not satisfied with how KinderLogix has handled your personal information, please raise it with KinderLogix first. You may also complain to the Office of the Privacy Commissioner of Canada, or to the commissioner of your province in Alberta, British Columbia or Quebec.
10. DELETING YOUR ACCOUNT
You may delete your account at any time from the Profile page in the application, or through the account deletion page if you can no longer sign in. Deletion removes your sign-in, email address, name, profile photograph, passkeys and preferences, and is completed within thirty days. A record that an account existed and was deleted is kept without identifying you. Your childcare centre's own records are unaffected and remain with the centre.
11. CHILDREN
KinderCompass is intended for adults. Information about a child reaches the application only from the childcare centre that enrolled the child, and only for the adults the centre has authorised.
12. USE OF COOKIES
KinderCompass sets one cookie, which keeps you signed in and is necessary for the application to function. It sets no advertising or analytics cookies, and it does not track you across other websites.
13. DOES THIS POLICY APPLY TO LINKED WEBSITES?
This policy applies to KinderCompass and to the pages published with it. It does not apply to websites operated by others that KinderCompass links to, including your centre's payment provider and the application stores, each of which has its own privacy policy.
14. CHANGES TO THIS POLICY
KinderLogix may modify this policy. The current version is always shown here with its version number and effective date, and you will be told in the application when a change is material.
15. ENFORCEMENT OF POLICY
If you believe KinderLogix has not complied with this policy, please tell it so that the matter can be investigated and corrected.
16. QUESTIONS OR COMMENTS
Questions about this policy, requests for access and complaints may be sent to the Privacy Officer at [email protected], or through the support page.
